Workflow automation with AI for businesses in Berlin
Workflow automation means a process that is carried by hand today, from enquiry to quote, from form to CRM or from draft to publication, runs on its own. Struktur builds such workflows for businesses in Berlin and beyond, with AI where it adds something and with clear rules everywhere else. Every system starts with an audit.
Which workflows are worth automating?
The ones that recur, follow clear rules and cost time today: enquiries that belong in a CRM, quotes that always start the same way, reports assembled by hand every week, content someone has to enter into the CMS. Anything a person does the same way three times is a candidate.
The test is simple: can you write the process down step by step? Then it can be automated. If you cannot, the first step is not software but writing it down. That exercise is a fixed part of our AI course, and it is the reason every project with us starts with an audit.
Typical workflows we build:
- Lead routing: an enquiry arrives via website, email or form and lands with all its details at the right contact in the CRM.
- Draft quotes: enquiry and price list become a draft that a person only reviews and approves.
- Reporting dashboards: figures from several sources flow into one overview, without anyone copying spreadsheets.
- Content publishing: text, layout and media go into the CMS by message, as with our WordPress agent.
How does workflow automation work at Struktur?
In four steps: audit, roadmap, build, run. In the audit we map your processes and tools, assess the use cases and check data protection and data readiness. The result is a prioritised AI roadmap with effort and benefit per use case. Only then do we build.
The build starts with the workflow that brings the most and carries the least risk. We connect the systems, define the rules and the points where a person approves, and test with real cases. In operation we measure whether the workflow delivers what the roadmap promised, and adjust. You get defined KPIs and monthly reporting.
What we deliberately do not do: automate everything at once. One workflow that runs is worth more than five that are half finished.
Which tools do we use: n8n, our own agents or both?
Both, depending on the task. For workflows with many integrations and clear rules we rely on tools like n8n, which your team can follow and adapt. Where a process has to understand language, write content or prepare decisions, we build a dedicated agent connected to your systems via APIs and MCP.
The tool is never the starting point. First comes the written-down process, then the question of which step a tool takes over and which one remains a decision. For the Servige product catalogue the answer was an agent on Telegram; for the infrastructure of a healthcare provider it was a local server with separated services and no AI at all.
More on when an agent is the right choice under AI agents for businesses.
What does CRM automation actually deliver?
That no enquiry is left lying around and nobody retypes data. An enquiry arrives in the CRM with name, request and source, gets the right contact and a follow-up date, and the same data produces the first draft quote.
This includes connecting the channels enquiries arrive through today: website form, email, phone note, messenger. And it includes tracking, so you know which channel brings the enquiries that turn into orders. Funnels, tracking and KPI reporting are part of our Systems work.
Which CRM you use is secondary. What matters is that it has an API and that your team actually uses it. We check both in the audit before connecting anything.
What does workflow automation cost?
The audit first, the rest priced per workflow. The price depends on the number of connected systems, the length of the process and the approvals needed. Before the build you get the roadmap with effort and benefit per use case, so you can decide where it is worth starting.
Weigh that against what the process costs today. For our own WordPress workflow it was around 60 minutes of manual work per scheduled update; today it is about two. We collect such figures wherever possible, and where we cannot, we say so, as with the healthcare provider whose environment we do not measure.
Which automations has Struktur already built?
An agent that writes and publishes WordPress content by chat, delivered to a retailer in Berlin. A website with product catalogue, enquiry basket and Telegram agent for Servige in Chile, with more than 100 products added by the team itself. A local server environment on Proxmox with Nextcloud for a healthcare provider in Germany. And this website, maintained by our agent Theo.
All projects with year, people involved and whatever we were able to measure are listed under Automation.
